  • Reception: Clarified the requirements for both existing design options, to support 1-2 users at the reception desk.

  • Office (for use as a Private Office or Team Office): Given changes to the way associates use space since we first deployed this space type, shifting from ad-hoc team-based usage to individual reservation, we are making a naming change. Instead of calling the unassigned version of these spaces "Team Offices," we are now calling them "Flex Offices". This aligns with recent associate feedback.

Modified Our process page:

• Changed page title from "Open source way" to "Our process"

Key IT updates:

• The new Hybrid Meeting Room standard was piloted in the Orange Pekoe room in Boston. This room features a modern landscape layout, providing a front-row experience for an enhanced hybrid video conferencing presentation.

• We have introduced a new Standalone Monitor Solution for No-Network Spaces, featuring 27” and 34” USB-C monitor options for easier support in MSO and IBM Collocations.

• A new digital User Guide is now available online via QR codes and links on the meeting room display/s that have been migrated to Google Meet Native Application. This approach is  more flexible, sustainable and is easy to access. 

• Telephony handsets have been removed from Phone Rooms, koaLa room / Exam kiosk, Post and Enclave D where phones are no longer required as per our standards. An intercom system will replace phones in Reception and Wellness Rooms.

• Printer room data and power elevations has been updated

• The AV port patching matrix has been updated to reflect received WyW feedback and the latest standard changes and new space types.

Standards

• Reorganized the Work Your Way website header. 

  • Shifted the "About WYW," "open source way," "leave feedback," and "revisions log" pages under the Home dropdown. 

  • Added a new dropdown for "Pilots and Solutions," shifting it from its previous location under Space.

• Pilots and Solutions page:

  • Under "Review pilots in-flight or provide feedback" we deleted the "coming soon" text and instead directed website users to use this section's new dropdown to review pilots in-flight and provide feedback.

  • Changed navigation visibility for a previously hidden pilot-specific page to make it visible to all via the dropdown.

• Added a new page: Resources

  • This page was created as a way to more transparently share out a list of all workplace design and delivery guidelines created by Red Hat. This ensures that our partners have greater visibility into the resources available to them during a project. 

  • Much of this content was directly shifted over from the Construction Playbook, however, there are a few additions of content not previously explicitly called out: Sustainability and Safety & Security.

• In partnership with Red Hat IT, we have archived the existing "IT Design Considerations" page on Work Your Way. Content focused on acoustics, lighting color temperature, lighting lux levels, and interior design considerations specific to video conferencing were shifted to other existing resources. These include the Construction Playbook, Work Your Way space types, Acoustic Guidelines, and the Brand section of the Work Your Way website. For additional details, reach out to the Workplace Strategy and Delivery team to gain access to the "IT Design Considerations: Removal Details & Resolutions" file.

• Brand > Color and finishes page:

  • Renamed the existing Brand > Color page to Brand > Color and finishes.

  • Modified the introduction text to match existing language used on the Red Hat Brand website.

  • Added a "Guidance for use of color" section, including finish palette recommendations for customer-facing space and internal-facing space. In doing this, we removed the separate "Guidance for use" section at the bottom of the page and combined related content.

  • Added considerations for the specification of finishes within a camera's field of view. This includes things that we've found to work well, as well as things to avoid.

  • Added a section about color matching, with a link to the Brand standards website for swatch information.

  • Updated all colors to match the updates made by the Red Hat Brand team in November. This includes new color families: neutrals, core colors, secondary colors. Each new color family includes details around how to use it, as well as application examples. Any existing guidance around use of color was clarified, simplified, or removed.

• For an improved videoconferencing experience, we've made some updates to lighting recommendations within each relevant space type:

  • We've adjusted our lighting recommendations for many spaces to include slightly warmer lighting. Our former color temperature guideline was 3500-4100K; and is now 3000-4000K. 

  • Our former lux level guideline was 500 minimum lux; and is now 400-550 lux, specifically on participants' faces. 

  • In spaces with videoconferencing, we've added a note to use indirect, diffused, and evenly distributed lighting. Room lighting should be completely even across the field of view of the camera.

  • These changes are in alignment with industry best practices and videoconferencing hardware manufacturer recommendations. It also ensures that video conferencing participants aren't overexposed on camera. 

• About Work Your Way > Our History: Removed the outdated timeline graphic to 1) match current brand standards, 2) add context around how Work Your Way has evolved since 2020, and 3) reformat all text into a screen reader friendly format for improved accessibility. 

• Logo page: 

  • Removed project delivery-related material details to bring focus the Interior Applications and Exterior Applications sections on strategic placement of the Red Hat logo. 

  • Removed the "About our logo" section and, instead, added a link to the Red Hat Brand standards website focused specifically on logo usage for additional information.

  • Removed the "Guidance for use" section and combined relevant information into the Interior Applications and Exterior Applications sections.

  • Removed an example photo showing the lobby of a site we have decommissioned. 

  • Draft content regarding our aligned workplace brand principles for spaces shared with IBM is available upon request, however, it is not included on the published Work Your Way website as of the March 1 2024 update.

• KoaLA kiosk updates:

  • Added clarifying information around when an onsite KoaLA space is not needed; when it is; and if it is, how different use cases determine the design and placement within the floorplan. This information was confirmed by the Red Hat Learning team.

IT Standards

• Poly X52 standard - The Poly X52 is an all-in-one video bar designed to replace the Poly X50. The X52 boasts superior audio and video quality and enhances user experience with improved camera auto-tracking and speaker framing capabilities.

• VTC rooms with Single display - In order to add video conferencing to more meeting rooms for minimal cost as well as offering an alternative layout, we are incorporating this option into our standard offerings. Pages have been added for Large conference room with video conference (single display) and Small-Medium Conference Room with video conference (single display) on Work You Way.

• IT design considerations Page Removal -  In an effort to streamline and reduce redundancy on the Work Your Way site, collaboration with our Workplace Strategy & Delivery partners has led to the removal of the IT Design Consideration page. We have collectively identified appropriate locations for the pertinent IT design consideration details, removing all duplications.

• HDBaseT Data Cabling Updates - The architecture for cabling to rooms has changed now that codecs are located inside the meeting room. We are introducing a new cabling option to directly cable the table to the display wall.  This option requires less equipment thereby reducing cost and solves for the shortened distance limitations introduced by (future) USB-C functionality. 

• IT-Network Standards - The latest Arista switches, along with recent topology adjustments, have been incorporated into our standard documentation. Additionally, the wireless standard documentation now includes new models of Juniper Mist Antennas.

• MDF/IDF Cameras  - A standard page has been added to ensure consistency in the requirements and installation details for cameras in the MDF/IDF rooms.

• Samsung Models -  The modules have been refreshed to incorporate the 2024 versions, transitioning from the QB-B series to the QB-C series.  

• WyW Updates - 

  • Workstation Data and patching changes - The workstation network standards have been updated to two cables per desk with only port A being patched by default, with the second port available upon request. Panduit RJ45 blockers will be utilized to block unused ports to minimize confusion.  This reduces cost, improves security, and streamlines delivery. 

  • Enclave C w/ VTC  - Language has been revised to align with the updated recommendations for credenza height.

  • Miro Migration - All Lucidchart schematics have been migrated to Miro and all links have been updated to the new location.

  • Removal of Poly Warranty part numbers - All Poly gear now comes with warranty and will roll into our annual co-term agreement, therefore the  purchase of warranties will not be required during deployment.

Standards

• Workplace brand updates:

  • Brand > Signage & Wayfinding: Removed equipment notes from the Safety Spot 

  • Brand > Signage & Wayfinding > Operational Signage: Added a new highlight detailing printed sustainable waste stream signage, and added an example photo.

  • Brand > Signage & Wayfinding > Operational Signage: Renamed “Global-use permanent signs” to “Fixed-content operational signs” to align with template files, and added an example photo.

• Space type updates:

  • Space Types > Storage Room: Renamed from “File Room”. Clarified that the storage room has the option for either filing cabinets or open shelving, depending on which solution best meets the needs of the assigned team/department. 

  • Space Types > Neighborhood > Enclave Option A: Removed the standing height table option due to low usage of existing spaces with this setup and very limited delivery of new spaces with this setup.

  • Space Types > Neighborhood > Enclave Option B: Modified the number of power outlets needed in the floor monument to 4, from 2. This creates better alignment with the tabletop power needs for end user access.

  • Space Types > Site > Wellness room: Added a note about how the need for a dedicated lactation room varies globally based on different cultural parental leave policies, and that a wellness room may not always need to be specifically designed for nursing parents. 

• Space > Furniture & Equipment: Created a new furniture & equipment page. 

  • Shifted existing documentation over from the Metrics & Standards page:

    • Furniture standards

    • Monitor arm performance specifications

    • Integrated tabletop power and data access specifications

  • New and modified guidelines:

    • Safety spot

      • Created a new, centralized location for all information related to the physical safety spot, in alignment with updated Safety Warden program documentation.

      • Added installation and coordination notes

    • Equipment budget allocation

      • Updated the equipment budget allocation information to a more comprehensive list that better reflects current budget allocation for CapEx project delivery.  Clarification added that the list does not represent Red Hat accounting categorization or OpEx projects.

    • Monitor arm performance specifications: For planning purposes, we've included a target ratio of monitor and monitor arm configurations for Flex workstations below. This can change site to site based on specific business needs and product availability. The design partner is responsible for confirming these details with Red Hat IT prior to ordering monitor arms.

      • 1/3 with a dual monitor setup

      • 1/3 with a single curved ultrawide monitor

      • 1/3 with a single monitor

IT Standards

• Phone rooms with Video Standard - We've added video conferencing capabilities to phone rooms. This standard includes the Dell 32” all-in-one monitor with an integrated camera, accompanied by a dock/hub. This hub provides Ethernet connectivity, 90W charging support, and Bring Your Own Device (BYOD) video presentation capabilities giving associates the flexibility to connect from any type of laptops to various video platforms.

• Flex Desk Dual Monitors for Macbook Standard - The Samsung Thunderbolt 4 daisy chain 27” monitor comes equipped with a  USB-C cable that enables Macbooks to use dual displays with a single cable input as well as Ethernet connectivity and 90W charging capability. This innovation will establish uniformity across all our flex desk monitor setups and enable all Red Hatters to connect through a single cable.

• We've added an optional table microphone and microphone extension kit in the Small - Medium Conference Room and Large Conference Room Standards to enhance the audio quality in the room as well as provide an extra mute button and indicator to cater to diverse audio needs.

• Parcel Locker Standard - Incorporating Global Logistics +Fulfillment’s existing solution into our WYW documentation to provide clarity for installation and maintenance of these lockers across our offices.

• The option for standing-height tables in both Enclave Option A and Enclave Option A with Video Conference standards has been removed.

• WYW Feedback Updates: 

  • Links for new Legrand LTM series display mounts and sliding component storage panels have been added to all relevant standards pages. 

  • Cable Locks - Panduit lock PSL-DCPLRX-BL-C  has been discontinued and replaced by PSL-DCPLRE-BL-C in our standards. Lock options have also been expanded to include Commscope cable CPC3312-02F006 and the SecureMAX Patch Cord Lock.

  • The Digital Signage configuration guide  (authentication required) has been revised shifting the morning setup time from 7 AM to 8 AM, allowing a one-hour saving to optimize efficiency and align with our ongoing sustainability initiatives and power conservation.

Standards

  • COVID-19 Banner from the front page has been removed.

  • Space Types webpage: Smart links have been added to all the space types listed on the dropdown sections of Site, Community, and Neighborhood.

    • Removed links to "Branding checklists by type and setting" and "graphics proposal template"

• Space type updates:

  • Space > Site > Post:

    • Updated the description and context section to reflect the internal management structure

    • IT & power: Clarified the number of power and data drops required per location. Only the starter unit requires direct connection.

    • Branding & signage: Added a note that branding is done prior to shipping and coordinated by Red Hat’s Global Logistics & Fulfillment team.

  • Space > Metrics & Standards > Monitor arms:

    • Added placement recommendations for dual monitor install:  2 singles. No more dual arms on a single post should be ordered.

    • Arms for curved monitors: added new performance specifications and product recommendations

    • Added installation and coordination notes

  • Space > Community > Makerspace: 

    • When a "guitar pick" table top is not available, a 60"x80" (200cm wide x 150cm deep) D-shaped table may be accepted. This option has been added.

• New pages:

  • Space > Pilots & Solutions: 

    • Created guidance on how to request unpublished standards or solutions (ex: studios) from previous pilots and defined pilot and solution

    • Created a diagram for the top of the page

    • Added a note about Media rooms, studios, customer experience spaces and training rooms being works in progress, and provided guidance to submit the pilot intake form for these requests. The page specific to Customer Experience space types has been removed from the site.
      

IT Standards

• Scheduler Panel Standards - In alignment with our vision for the workplace, scheduler panels are being added to the standards. This will augment our reservation tools within the physical workplace, can help to drive accountability in room bookings, and can provide utilization and availability information.

• Enclave Type D with Video - In conjunction with the launch of the space type, a standard has been created to add video conferencing to Enclave D. This includes the Poly X30 all-in-one device that is currently being deployed in Enclave A.  Associates will be able to join multiple video platforms as in our other video spaces.

• Display Recommended Sizing and Viewing Distances - Recommended minimum and maximum viewing distances for each room and display size to create a more consistent and efficient decision making process during project delivery.

• Microsoft Teams Dialing Instructions - The best and easiest way to connect to Microsoft Teams video calls from our Video Conferencing rooms has been documented in a ServiceNow Knowledge Base article (authentication required) to support Red Hat associates with this process as well as in the Video Conferencing FAQ document (authentication required). 

• Makerspace IT Standard - Space size was updated to align with the space type. 

• IT Design Considerations Page  - These are recommendations based on what we’ve learned integrating technology and space, but not standards. Clarification on how to use the guide as well as updated camera field-of-view, video background wall colors, and the removal of u-shaped table layouts have been changed. 

• The Customer Experience Page as well as Training Room standard pages were removed. The new Pilots and Solutions page was added to provide more clarity on how these types of spaces are developed.

• AV port patching Matrix (authentication required) reflects the Small/Medium/Large conferencing rooms name change published in September 2022.

• The Security Camera specification has been added to the MDF and IDF room standards.  

• WYW Feedback Updates: 

  • MDF / IDF Room Standard - Adding room layout examples under the Room Construction section. Consistent verbiage for the size of the MDF/IDF added to all related documents. 

  • Enclave C with Video Conference Document structure has been fixed.  

  • Data at Workstations - Updated the number for active data ports per flex workstation to one now that desk phones have been removed. Flex Workstation IT Standard , MDF/IDF Network & Circuit - Brokered Standards , and AV Port Matrix were all updated to reflect the change.

• MDF / IDF Network Monitor Probes - Brokered Standards - Added details for the network probes hardware installation, network connectivity and support process to make it easier to deliver and support.
